PA to 2x VP's Arabic Speaking

As the PA to 2x VP's -Arabic Speaking; you will be responsible for the following:

- Extensive management of on-line diaries, booking appointments and arranging meetings, updates as required
- Ensure Director/s get to meetings on time with appropriate documentation
- Acting as back up in managing other Directors' and Principals' diaries when their EAs are not available
- Handling and screening calls for Director/s
- Taking and passing messages to Director/s in a timely manner
- Retrieve and action voice mail messages for Director/s when required
- Organising conference calls as needed and maintaining call record for accounts purposes
- Monitoring Directors' email in-boxes when they are out of the office or at meetings and taking action as necessary
- Organising interview times as part of the organisations appraisal system for Director/s at appraisal time (twice a year).
- Organising business travel and accommodation bookings for Director/s and occasionally for other client staff on relative projects
- Co-ordinating and preparing monthly expenses claims and fortnightly timesheet submissions for Director/s and own expenses and timesheets by due dates
- Preparing booking sheets for new jobs
- Coordination of reimbursement of medical expenses for both Director/s and families as part of the partner health scheme
- If in the office, organising boardroom bookings and refreshments
- If external meeting, organising all logistics
- Maintain and build good working relationships with Directors' clients and their assistants via phone and email communications
- Proofreading and finalising of documents when required i.e. presentations, proposals, letters
- General filing (minimal)
- Assisting Director/s client team in copying of documents if needed
- Client database management and marketing assistance when needed. Keeping Director/s own contacts databases up to date
-Assisting other EAs during busy periods
- Assisting with the organisation of events as needed including dinners and outside events
-Provide reception cover on an ad-hoc basis
- Personal errands as occasionally requested by Director/s

Who we're looking for
- A PA to 2x VP's- Arabic Speaking with minimum of 3 years experience in a PA/EA role
- Experienced with a professional services firm preferred
- Intermediate to advanced level on Excel, Word and PowerPoint
- Ability to use Microsoft Outlook
- Must possess good keyboard skills (at least 55wpm)
- Excellent organisational skills
- Good oral communication and interpersonal skills; MUST BE FLUENT IN BOTH ARABIC AND ENGLISH
- Must possess a professional telephone manner
- Demonstrated ability to work under pressure
- Demonstrated team player and dedication to provide high level of service
- Must possess a warm, friendly and professional demeanour

About our client
Our client is a multinational consultancy firm based in Dubai

What's on offer
Basic salary of AED 14,000 - 17,000 including medical coverage, 1 annual ticket, 22 working days annual vacation, and free daily lunches in the office
