As the Executive Secretary you will be working alongside the General Manager and will support him and the team in Jeddah with their day-to-day tasks. Job Description

  • Arrange flight particulars, hotel reservations, and travel schedules following company policies and obtain LPO (Local Purchase Order) approval.
  • Schedule meetings in the destination country and coordinate meeting agendas.
  • Collaborate with the local travel agent to manage visa requirements and ensure timely preparation of travel documents for all individuals intending to travel.
  • Schedule appointments for both in-house and local meetings.
  • Coordinate video/telephone conference arrangements.
  • Plan logistics for visiting guests, local and international teams, events, and artists.
  • Handle the arrangements for country team trainings, including venue selection, support materials preparation, and record-keeping of all conducted trainings.
  • Arrange conferences, workshops, and meetings for the country team.
  • Create and maintain a clear project timeline for efficient planning and execution.
  • Keep track of important deadlines for Medical Claims, Employee Related Expenses, and Vendor Related Invoices.
  • Monitor all administrative contracts.
  • Engage closely with the international team, providing technical support, addressing challenges, handling user issues, facilitating new online accesses, assisting with new structure setup, and maintaining direct communication with the respective countries
  • Meetings and training sessions conducted with professionalism and meticulous planning.
  • Ensure timely and successful completion of all assigned projects according to the established plan.
  • Attain excellent execution and high-quality outcomes for both administrative and marketing projects.
  • Collaborate and coordinate effectively with various teams, both local and international.
  • Successful development and implementation of projects.

The Successful Applicant

  • Minimum 2 years of experience
  • Excellent English speaking and writing skills
  • Proficiency in MS Office
  • Good typing skills of at least 60-70wpm
